Job Purpose: KPMG in the Crown Dependencies is looking for an individual with strong interpersonal skills who enjoys variety in their working day, to join us as Facilities Officer on a permanent basis. This role is to be the local Facilities support for the Guernsey office, working flexibly under the direction of the Head of Facilities. Responsibilities: General Manage day-to-day facilities requests via helpdesk Maintaining kitchen/general areas including daily cleaning maintenance of coffee machines Dealing with deliveries into the local office/s Maintaining office stocks: stationery, kitchen, office consumables and photocopier consumables and liaising with suppliers Collecting mail from Post Office, opening and distributing. Delivering out-going mail to Post Office and completing PPI book Assisting IT with kit, e.g. screens, fitting and moving peripherals Control and maintenance of records all keys including lockers Supervision of confidential waste disposal and archiving and destruction of old archived documents as per policies Assisting with daily access control required for exiting staff, visitors and contractors Assisting functions and departments with their on and off-site events Support with loading and processing invoices Maintenance and Health & Safety Monitoring and liaising with contractor such as Cleaners, Facilities Maintenance; ensuring good levels of service and value-for-money regarding reactive and proactive tasks and escalating to Head of Facilities as part regular feedback Support delivery of the planned preventative maintenance (PPM) programme, including occasional out-of-hours access/supervision to enable proactive maintenance works to be completed safely and with minimal business disruption. Supporting facilities related projects (e.g. refurbishments and equipment upgrades) as required Carrying out general maintenance tasks within one's skill set and ability to do so General maintenance of offices to ensure a clean and safe working environment In cooperation with a wider Facilities team, assist and support the writing & reviewing of policy documents as required Being the main emergency key holder and point of contact for all local offices / sites and provide out of hours supervision and support for repairs/PPM on an 'as-required' basis Supporting Senior Management on aspects of operations related to Facilities and physical security of assets, by: Creating draft Risk Assessments Contributing to draft policies and procedures notes Contributing to compliance reviews for polices adopted by the firm and reporting of findings with recommendations General facilities officer duties to maintain the health and safety of all employees within KPMG offices and to assist with compliance legislation and conformity for all KPMG offices Organising first aid and fire marshal training and acting as lead fire marshal for the office Supporting KPMG in meeting its environmental agenda commitments Standby for team members during leave periods. The post holder may also be required to undertake other duties that are reasonably expected within the scope and level of the role, even if not specifically listed above.
